Overview
This guide will walk you through the process of creating a new OneSpot employee in RevolutionEHR. This dedicated employee account is essential for enabling secure, automated data synchronization between RevolutionEHR and OneSpot.
The setup process is straightforward and involves:
Creating a user role with specific permissions.
Completing a successful login to finalize the setup.
Before getting started, ensure that you have administrative access in RevolutionEHR and are prepared to note down the user ID and login credentials created during the OneSpot configuration.
Creating the OneSpot Employee
1. Log in to RevolutionEHR.
2. Navigate to: Admin > General > Basic Information.
- Make note of the number in the ID field.
- No action is needed for this step, the ID number will be used later.
3. Create a new user role for OneSpot:
- Navigate to Admin > Employee/Roles > User Roles > Add.
4. In the User Role Name field, enter OneSpot.
5. From Access Permissions > Accounting Module:
- Expand the Accounting Module and select:
- View Invoices
- View Claims
6. From Access Permissions > Administration Module:
- Expand the Administration Module and select:
- View Administration
- General
- Employee/Roles
- Vendors/Partners
7. Select Save to create the user role.
8. Create the OneSpot employee:
- Navigate to Admin > Employee/Roles > Employees > Add.
9. Under Personal Details, enter the following information:
- First Name: Sync
- Last Name: OneSpot
10. Under Login Details > Login Information, enter the following information:
- Username: OneSpot followed by the ID from Step 2:
- (Example: OneSpot2915)
- Be sure to save this username, you'll need it for OneSpot configuration.
- Temporary Password:
- Enter a temporary password that meets RevolutionEHR's password requirements.
- You'll reset this password upon first login, make note of it.
- Confirm Temporary Password: Re-enter the temporary password.
- Allow Emergency Access: Leave this box unchecked.
11. Under Login Restrictions:
- Ensure Login Allowed is selected for each day to allow daily sync activity.
12. Under User Roles, select OneSpot.
13. Under Location Access:
- Primary Location: Select a location from the drop-down menu.
- Accessible Locations: Select all locations.
14. Select Save to create the OneSpot employee account.
15. Log out of RevolutionEHR.
16. Log back into RevolutionEHR using the OneSpot username and temporary password you just created.
- You will be prompted to reset the password.
- The new password must meet your practice’s RevolutionEHR password policy.
- Make note of the new password, as it will be needed when configuring auto-sync in OneSpot.
17. Confirm the login is successful, then log out.
