Keeping Your Admin Data Up to Date
The Admin Data sync process ensures that your OneSpot Admin module always reflects the latest information from RevolutionEHR—including information about your Locations, Providers, and Payers.
With OneSpot’s nightly Auto-Sync, any changes made in RevolutionEHR—like adding new payers, updating providers, or modifying locations—are automatically synced and ready for you the next day. However, if you need the updates sooner, you can manually trigger a sync at any time. Below, we’ll guide you through how to load Admin Data for the first time or perform an on-demand update.
How to Load or Update Admin Data
1. Navigate to Admin > Externals > PM Software.
2. Select Manage PM Software.
3. Start the sync:
- For your first sync, select Load Admin Data.
- If you’ve already synced before, select Update Admin Data.
4. Confirm the action by selecting either Load Admin Data or Update Admin Data.
5. Watch the sync progress:
- The window will close automatically.
- You’ll see a confirmation message and a progress bar showing the import in action.
6. Once complete, you’ll see the Last Updated date and time (in ET) reflect the current sync.
To view the results, navigate to: Locations, Providers, and Payers in OneSpot to confirm everything looks correct.
Errors During the Sync
If there’s an issue during the sync:
- An error message will appear on-screen.
- You’ll also see an alert indicating the sync failed.
Here’s how to interpret the timestamps:
- Last Updated: The last time a successful sync was completed.
- Last Run: The most recent sync attempt, whether successful or not.
Tip: Review the error message for guidance, make any necessary corrections in RevolutionEHR, and try syncing again.
