Overview
After OneSpot processes a scrubbing file, the claims are filtered by location, and a dedicated worklist is created for each location. Within each worklist, the claims will be organized based on their status. This article explains how worklist items are created and updated during both the initial and subsequent uploads of scrubbing files.
Understanding the Scrubbing Worklist Creation
Initial Upload
When a scrubbing file is uploaded and processed for the first time, OneSpot creates a new worklist item for each individual claim included in the file.
Subsequent Uploads
During future uploads of scrubbing files, OneSpot handles claims as follows:
- New Claims: If a claim has not been previously processed by the scrubber, a new worklist item is created.
- Previously Uploaded Claims: If a claim has already been processed, its existing worklist item is updated based on any changes.

Claims on Hold: Claims placed as On Hold will remain in this status until manually updated by a user.
- If included in future uploads, the claim will still be processed, but its status will remain On Hold.

Once the On Hold status is removed:
- If no errors or warnings remain, the claim will move to the Ready to File status.
- If there are unresolved issues, the claim will move to the Needs Review status.
- Eyefinity Encompass & RevolutionEHR Accounts Only: Claims that were previously added to the worklist using the Import Claims button will be removed and marked as Auto-Completed if they are not included in subsequent scrubbing file uploads.
Error and Warning Status Updates
Ignored or Fixed Errors/Warnings:
- The status of an error or warning that was previously marked as Ignored or Fixed will stay the same if no changes have been made during subsequent uploads or imports.
- If an Ignored error or warning has been corrected in your practice management system and the claim is re-uploaded, the scrubber will recognize this and reflect the status as Fixed.
- However, if a previously Ignored or Fixed issue was not actually corrected and the claim is uploaded again, OneSpot will revert the issues status, and the claim will be set as Needs Review.
