Scrubbing - Files Overview

Overview

The Files tab gives you a centralized view of scrubbing files processed by OneSpot. From upload history to file status, this tab helps you track which claims were scrubbed, their results, and any issues encountered during processing.

Upload & Process A Scrubbing File

To learn how to upload or import a claim scrubbing file, refer to:

Last Scrubbing File Uploaded & Processed

This section summarizes the most recent scrubbing file uploaded. It includes:

  • Uploaded By: The user who uploaded the file.
  • Date & Time: When the file was uploaded.
  • Newly Uploaded Claims: Total claim count and associated balances, broken down by status. 

If there’s an issue with the upload, an error message will appear. Details can be reviewed in the Processing Status column under Recent Scrubbing File History.

Recent Scrubbing File History

This grid displays the five most recent scrubbing file uploads. Select View All to see complete upload history. Each row includes:

  • Uploaded & Processed On: Date and time of upload.
  • Uploaded By: Name of the user.
  • # of Claims: Total claims in the file.
  • Processing Status: Indicates success or error during processing. 

Select any row to view detailed file information.


Detailed Scrubbing File Information

Each scrubbing file displays detailed information about the uploaded claims, helping you track processing status, match results, and related data at a glance.

Process Icons

Indicates where each claim is in the scrubbing process:

  • Yellow Washing Machine: Claim is currently being scrubbed.
  • Yellow Wrench: Claim is being prepared as a Worklist item.
  • Green Checkmark: Scrubbing is complete.
  • Red Triangle: An error occurred during scrubbing.
  • Skipped Symbol: Claim was skipped during the upload process.

Other Key Fields

  • HCFA: Select the icon to preview the CMS 1500 (HCFA) form generated from the uploaded claim. Opens in a new tab.
  • Current Status: Displays the claim’s current OneSpot status.
  • Service Date: The service date of the claim.
  • External Claim # (RevolutionEHR users only): This is the claim ID from your practice management system.
  • Matched Claim #: The aged claim # the scrubbed claim was matched to in the Aging module.
  • Payer: The payer associated with the claim.
  • Patient: The patient associated with the claim.

Matching Status

Shows whether the scrubbed claim was matched to an existing claim preview:

  • Active: The claim is matched or is queued to be matched.
  • Ignored: No match was found, or the claim was skipped due to being a duplicate.

Upload Status

Displays the claim’s status at the time of upload.
