Mark as Stalled

Overview

The Mark as Stalled sub-action lets you set aside claims that are temporarily unworkable but remain open in both your practice management system and OneSpot. Common examples include delays from credentialing, payer-specific issues, or pending write-off approvals. Marking a claim as stalled deprioritizes it from your workflow, so you can concentrate on claims that are ready to be worked and resolved.


Key Details

  • No Status Change: Stalled is considered a sub-status and does not alter the claim's original status (e.g., Active, Denied, Pending).

  • Editable & Actionable: Even when stalled, claims remain fully workable. You can continue adding notes and taking any other necessary actions. 

  • Deprioritized, Not Hidden: Stalled claims appear lower in your worklists but remain visible and trackable, clearly indicated with a pause symbol:

How to Mark a Claim as Stalled

1. While using the Add Note claim action:

  • Select the Mark as Stalled box.
  • Select a Stalled Reason from the dropdown menu.

2. Select Save to apply the actions, or select Cancel if you do not wish to save your changes.


Removing the Stalled Sub-Status

A claim will maintain the Stalled sub-status until it is manually dismissed. To remove the Stalled sub-status, use the Dismiss Stall action.


How Stalled Claims Appear in Your Worklists

In Aging > Claims, your worklists are organized to keep the focus on what matters most:

  1. By Claim Date (Oldest → Newest): Claims are first arranged by age, with the oldest at the top and the newest at the bottom.

  2. By Status (Non-Stalled → Stalled): Within that order, non-stalled claims always appear above stalled claims.

Example: Even if a stalled claim is technically the oldest for a payer, it will appear below non-stalled claims. This helps reduce the “noise” stalled claims can create, so the claims you can actively work on and move forward with are always front and center.

You can still review stalled claims anytime, but this setup makes sure your worklists highlight the claims that truly need your attention first.


Viewing Stalled Claims

There are two primary ways to quickly locate your stalled claims in the Aging > Claims > Claim Filtering Tabs:

1. Navigate to the By Claim Status > Stalled filtering tab to view a list of payers with stalled claims. 

This will also provide access to the Stalled Claims - Report, which includes: 

  • A detailed list of all stalled claims, along with their reasons.
  • Flexible filtering options by payer, claim status, or stalled reason, allowing you to customize the report.
  • Export options to review or share the data offline with team members outside of OneSpot.

2. Use the Stalled sub-filter within the following Claim Filtering Tabs:

  •  By Claim Age

  • By Timely Filing

  • By Last Worked

  • By Service Date
