Claim Filtering Tabs Explained

Working Claims Your Way: OneSpot’s Custom Worklists & Filtering Tools

At OneSpot, we know every team works differently. That’s why we’ve designed our worklists to be flexible, intuitive, and personalized so you can manage your claims the way that works best for you. With five powerful claim filtering tabs and a dedicated Search Claims tool, OneSpot allows you to filter, organize, and act on claims based on what matters most to your workflow. 

Let’s walk through how each filter works and how you can use them to streamline your claim management process.


Claim Filtering Tabs

You can manage and view claims using the following filtering options:

By Claim Age

  • Sort claims by aging buckets to prioritize older claims needing immediate attention or monitor new claims starting to age.

By Timely Filing

  • Quickly identify claims that are approaching their timely filing deadlines so you can take action before it’s too late. This filter helps prevent missed deadlines and supports timely claim submissions. Claims are automatically grouped into filing urgency buckets—such as File in 16–30 Days or File in Less Than 6 Days—based on their date of service and the timely filing limits you've configured for each payer in Admin > Payers.

By Last Worked

  • Identify claims that have been untouched in OneSpot—or haven’t had follow-up in 30–60 days or 61+ days. This view is beneficial for identifying gaps in follow-up activity.

By Claim Status

  • Filter claims by status: Active, Denied, Pending, Rejected, Under Appeal, or Stalled. This makes it easy to prioritize based on urgency.

  • Example: While checking your clearinghouse for rejections, take a moment to update the claim’s status in OneSpot to Rejected. This small step can help prevent claims from being overlooked in the clearinghouse and potentially missing timely filing deadlines. Later, you can easily locate and prioritize these claims using the By Claim Status > Rejected filter—so you can start correcting them right away and keep your revenue cycle moving.

By Service Date

  • View claims within specific service date ranges, useful when reviewing claims tied to a particular event or payer issue.

Search Claims

Use this tab to quickly find a specific claim by:

  • Claim #
  • Patient name
  • Payer name
  • Service date range
  • Status

Tip: As you post payments or work through clearinghouse rejections, keep this tab open to instantly locate and update claims in OneSpot—marking them as Rejected, Denied, Refiled, Complete, etc.


Organizing Filtered Claims by Payer

Each filtering tab displays a list of payers whose claims match your selected criteria. Selecting a payer opens a dynamic worklist showing all claims for that payer that meet your filters. 


Universal Filters and Sub-Filters

The Filters button brings key accounts receivable controls together in one place, allowing you to quickly refine what you see and focus on the claims that matter most. After selecting a Claim Filtering Tab, you can use Filters to further narrow your worklist by payer type (Medical, Vision, or Unspecified), reducing time spent scanning unrelated claims and supporting more intentional follow-up and prioritization.

Additionally, across all claim filtering tabs (except for Search Claims), you can further refine your view with these status-based filters:

  • Non-Snoozed

  • Snoozed

  • Stalled

  • All (includes all claims, regardless of status)

These sub-filters give you the flexibility to manage your workload based on current priorities or claim state—whether you’re catching up on stalled claims or revisiting snoozed ones.
